Our new Ophthalmology Centre is a flagship development within the Welbeck network, purpose‑built to set a new benchmark for specialist day‑case eye care. Designed from the ground up, it brings together state‑of‑the‑art technology, beautifully considered clinical spaces, and a calm, modern environment that supports both exceptional care and exceptional teamwork.
As part of the launch team, you will help shape the culture, embed best practice, and play a meaningful role in creating a Centre that patients trust and colleagues are proud to be part of.
About the role
As Administrative Service Manager, you will oversee the day‑to‑day coordination of our administrative services and lead an experienced team who are central to delivering a seamless patient journey. You will guide, coach, and develop staff, ensure operational excellence, and work closely with clinical and operational leaders to deliver an outstanding patient experience.
You will be responsible for rota planning, complex ophthalmology bookings, performance oversight, financial processes, and the continuous improvement of administrative systems. The role also acts as key support to the Centre Manager, ensuring the centre operates smoothly and safely even in their absence.

Key Responsibilities
Provide day‑to‑day leadership to the administrative team, supporting a collaborative and high‑performing culture.
Oversee the smooth running of all administrative functions, ensuring efficient processes and excellent patient experience.
Manage rotas, schedules, and staffing levels to meet operational and clinical needs.
Maintain strong knowledge of ophthalmology services to support accurate, safe, and sensitive patient bookings.
Handle patient queries and concerns with empathy and professionalism, focusing on positive resolution.
Support the Centre Manager by taking delegated operational responsibilities as required.
Ensure compliance with all governance, information management, safeguarding, and health & safety standards.
Manage payments, invoicing, and financial queries, ensuring accuracy across self‑pay and PMI pathways.
Review, enhance, and implement administrative systems and workflows to drive efficiency.
Contribute to audits, service evaluation, and quality improvement initiatives.
Maintain accurate records, promote a strong culture of incident reporting, and uphold policies across the team.
Build effective working relationships across clinical and non‑clinical teams to support seamless patient flow.
